K-12 Case Study 1
Client:

Our client is a K-12 school system comprising of over 23 schools and a student population of 20,860 and 1,689 teachers.

Business Needs:

The client required a web based technology that could enable both their employees and managers to participate in Human Resource Management via a web browser. It also needed a method that could compensate and reward employees based on performance and process new recruitments. Another critical need was of monitoring budgetary issues.

Challenges:

The major obstacle a complex environment requiring user accounts to be synchronized between a variety of different authentication servers with an estimated 5000 users.

  • Single Sign-On : Users prior to implementation had to go through multiple login user id and password in order to gain access to the system. The single sign on architecture enabled users to login once and gain access to all systems without being prompted to log in again at each and every application.

  • Position control : Position control which is an important aspect during the recruitment process was not compatible with the human resource module. By synchronizing job positions with budgetary information HIPL enabled the position control for the client.

  • Praxis Scores : PRAXIS test score is a mandatory professional licensure for teacher certification. As a K-12 system school is was essential to collect the Praxis score information from applicants at the time of registration. Since this is not supported by Standard Oracle iRecruitment Samara-Tech enabled the process with the help of API and Flex Field Structures to accept the Praxis Scores.

    Praxis test scores asked by K-12 schools from candidate(s) are not generic for every vacancy. These test scores are dependent on the subjects. Samara-Tech enabled the functionality to accept the Test Scores based on the subjects.

  • Benefit Self-Service Human Resources (SSHR) – An inappropriate configuration of the advanced benefits was often leading to operational issues. HIPL corrected the existing data through appropriate configuration.

Business Value:
  • The Single Sign-On architecture enabled users to login once and gain access to all systems without being prompted to log in again at each and every application. This provided access control to multiple, related and independent software thus reducing the fatigue of every time entering user name and password.

  • iRecruitment - This solution enabled the management to perform all recruitment activities using a single self-service interface and provide an easy-to use interface for job seekers. The implementation highlighted not only a productive and speedy recruitment process but also empowered the candidates to capture their online profile details and status as well. Thereby integrating and streamlining their HR process.

  • Position Control an effective and transparent budgetary system put in place to monitor, manage and control positions and related costs.

  • Oracle Talent Management System - A comprehensive solution with clear metrics to recruit, retain, reward and develop effective teachers and employees.

  • Benefit Self-Service Human Resources (SSHR) – The module included empowering employees to maintain their own individual information online related to their eligibility and criteria for advanced benefits such as medical, dental, leaves and facility, insurance and retirement etc.

Client:

Our client is the 26th largest K-12 school system in U.S. with 172 schools, programs and centers.

Business Needs:

With a work force of over 17,000 employees and 8,850 teachers they required an automated recruitment process that could integrate with Oracle HRMS thus simplifying day to day administrative and HR tasks.

Challenges:

The client was facing several different layers of complications and challenges.

  • Event Management : The client organizes multiple recruitment events like Recruitment Fairs, Walk-in Interviews for hiring teaching staff to their respective schools thereby giving opportunity to prospective teachers to apply to the vacancies in these schools under one roof. In standard practice, recruitment event functionality is non-existent in Oracle iRecruitment. The client required this functionality to be eventually integrated with Oracle iRecruitment.

    With our client’s requirement at the forefront Samara-Tech thus conceived and developed the bolt-on solution to enable a Recruitment Fair Management. This solution was conceptualized with following features:

    1. Scheduling of Recruitment Events
    2. Identification and Logistics Management of Event Locations
    3. Notifications to Prospective Applicants about the Event
    4. Online Interview Appointment by Candidates
    5. Secured Access to Principal, Recruitment Staff and Applicants
    6. On the spot Screening / Selection Process


  • Online Applicant Assessment :The client required an applicant assessment questionnaire for the vacancies applied by candidates. This assessment would help the client to filter the eligible applicants from applicants’ pool. Samara-tech configured and setup applicant assessment process as mandatory step for applying to a particular vacancy.

  • Praxis Scores : PRAXIS test score is mandatory to receive professional licensure for teacher certification. The client being a K-12 system school wanted to capture the Praxis Score information from applicants during registration to a particular vacancy. Since this is not supported by Standard Oracle iRecruitment Samara-Tech enabled the process with the help of API and Flex Field Structures to accept the Praxis Scores.

  • Certification Information : Certification and licensure information is a mandatory requirement for teacher hiring process. A standard Oracle iRecruitment does not provide an out of the box certification information acceptance. Samara-Tech enabled this functionality based on the vacancies with help of Flex Fields Structures.

  • Recruitment Process based on Primary and Secondary Subject Area :The client wanted to enable the recruit to hire processing based on the candidate’s subject areas. Standard Oracle iRecruitment process does not enable any such functionality. HIPL conceptualized and customized a subject specific vacancy to subject specific candidate process which could integrate into Oracle iRecruitment.

Business Value:

HIPL successfully implemented Oracle iRecruitment along with customized modules integrating with Oracle HRMS to manage the workforce. It helped deliver to both staff and recruiter the ability to manage all aspects of the recruiting cycle in the following way:

  • Evaluate candidates and applicants during the recruitment process, helping to ensure the right candidate is matched with the right job.

  • Empowering candidates to access their data through an easy to use single self-service interface provided for job seekers. Thus enabling easy online communication between applicant and employers.

  • Automated and streamlined the entire job offer process from initiating an offer to its eventual closure through simplified recruiting tools which eventually reduced cumbersome and repetitive task for the management.
